How do I import my guest list?
Press Add guests on Manage → Guests, choose From a spreadsheet and choose your file: an .xlsx from Excel, Numbers or Google Sheets, or a CSV. The file is checked before anything is added, and households already on your list can be updated from it.
On the website only.
On the website, open Manage → Guests, press Add guests (on an empty list it is already open) and choose From a spreadsheet.
- Download the Sample CSV offered there. It is made for your event: it has only the columns your event uses, and a few example rows.
- Put your guest list in those columns, one row per invitation. You can leave the example rows in for reference: a row whose name and email are still the sample's is left out, and the check says how many. The columns can be in any order, and a column the import doesn't use is ignored and named, so a misspelled heading is noticed.
- Choose your file: an .xlsx as Excel, Numbers or Google Sheets save it (the first sheet is read), or a CSV. Nothing is added yet: the import checks the file and says how many invitations are ready and how many rows need a fix, such as 38 households ready to import · 3 need a fix.
- Press Import with the number ready to add them. A row goes in whole or not at all.
The columns
- Name is required on every row. Email is required unless the row has an Answer, since an invitation goes by email.
- Phone is a 10-digit number, kept as contact information. It does not opt the guest into texts.
- Group appears when some guests join later: From the start or Joins later. Blank means From the start.
- People allowed is that invitation's own number of people, from 1 to 20. Blank keeps your event's number.
- Tags appears for a venue's events. Separate several with semicolons; a tag the event doesn't have yet is added.
When your event takes RSVPs, you can also bring in answers you already have, the same as Answer for them:
- Answer is yes, maybe or no (maybe only when your event offers it). A row with an answer is recorded as answered, so it is not owed an invitation, and it needs no email.
- City is optional.
- Guest 1, Meal 1 and Child 1, then Guest 2 and so on, name each person in the invitation. A yes needs at least Guest 1. A meal must match a dish on your menu, and Child is yes or blank. Meal columns appear only when your event has a menu.
- An answer for an address already on your list, who hasn't answered, is recorded on that invitation.
Households already on your list
A row whose email is already on your list is matched to that household, and nothing about it changes unless you choose to. The check says how many are already on the list, lists what the file would change for each (Row 4, The Okafors: name to The Okafor Family, phone to (503) 555-0199, adds Wine club) and offers Update them from the file. Press it before Import to make those changes too; leave it and only new households are added.
- Only the cells with something in them count. A blank cell leaves that value as it is, so a file with fewer columns never clears anything.
- Name, phone, group and people allowed are replaced by the file's.
- Tags are only added, never taken off.
- An answer in the file replaces the household's answer, even one the guest gave themselves, and the people named under Guest 1 and on replace theirs.
- A new phone number ends that guest's agreement to texts, since it was given for the old number. The check names each household this would affect.
- A row that already matches your list is counted as unchanged.
Updating never sends an invitation.
Rows that need a fix
Each one is named by its row number in your spreadsheet, the name on it and every problem the row has, for example Row 7, The Merrymans: Meal 2, "Fish", isn't on the menu. A row with more than two problems shows the first two and how many more. Reasons include no name, no email, an address on an earlier row, a phone number that isn't 10 digits or already belongs to another guest, more people than the invitation allows, and an answer that names nobody.
Download the rows gives you a CSV of just those rows as they were, with a Why column at the end. Fix them in your spreadsheet and import that file; anything already added shows as already on the list, with the choice to update it.
A name with a comma in it, such as "Smith, John", comes through whole, as long as the file quotes it the way spreadsheet exports do. A line break inside a name becomes a space.
A file can be up to 1 MB and 500 rows. A guest list holds 500 invitations in all, so a file that would take it past that is refused whole, and the message says how much room is left.
Importing a list does not send invitations. Check the names and addresses, then use the send button on Guests.
