How do I manage scheduled and automatic emails?
Scheduled messages are the Scheduled chip in Manage → Messaging; the reminder, the thank-you and the emails sent for you are in Messaging's Settings.
Scheduled messages
In Manage → Messaging, the Scheduled chip lists everything coming up, one-off and repeating together, soonest first; it appears once there is something to list beside messages that are not scheduled. In an app version before 1.3, Event plan lists them, once you have scheduled one. Check the event's timezone before relying on a send time.
To schedule an email, choose New message, write the email and choose its guests. On Send (Choose when in the app), choose On a date (a date and time), Before the event (a number of days or hours) or Repeating email. A repeating email sends its first one a number of days from now, then again every few days, until They answer (each guest drops out when they reply), The event, or After a few (a number you choose for each guest). A repeating email goes by email only, never as a text, so its count is of emails, and it can't be saved as a draft. Then press Schedule message or Start repeating email, and press it again to confirm. Scheduled sends are checked every five minutes. An event can have 50 messages waiting to send, drafts included, and 10 repeating emails running at once; a schedule reaches up to 365 days ahead. A time that has already passed cannot be scheduled: if the event is two days away, three days before is refused, and the picker says so as you choose it.
Press a scheduled message for its panel (its card, in an app version before 1.3). Cancel, pressed twice, calls it back before sending starts; a message that has started sending cannot be changed or canceled. A repeating email's panel has Edit, which opens it in the composer with its rule on Send and Save changes in place of the send button; once it has sent a round its first send is history and only the rest can change. Stop, pressed twice, ends it; the rounds it sent stay under Sent. Review pending schedules after changing the event's date or time; relative schedules follow the event date.
Emails we send for you
Press Settings on Messaging's band (in the app, its settings mark). Under Emails we send for you are the invitation, the three RSVP confirmations (When a guest says yes, maybe and can't make it), and The confirmation text. Each says whose words it goes out in: Our words, Your venue's words or Your words. Open one and its subject, headline and message hold the words it goes out in now, so change only what you want and press Done or ‹ Settings, which keep it (Save in an app version before 1.4). The details filled in for each guest show as tinted chips, such as Party name, and a chip goes as one piece; Insert under the message adds Their name, Party name, Date and time, Where or Sender name where your cursor was. A headline or message you leave as it was keeps following our wording (your venue's, when it has its own), so it changes when that does, and one you empty goes back to it. Back to ours returns an edited email to our wording (Back to your venue's when your venue has its own), after a second press. The confirmation text is read back for each answer and can't be changed. In an app version before 1.3 these are on the Automatic tab, with Search automatic.
Sent on their own
The same Settings (the Automatic tab in an app version before 1.3) has an Event reminder and a Thank-you, each row saying when it goes or Off; open one for its switch, its timing and the words it sends. The timing is a set number of hours or days from the event. The reminder counts back from the start and the thank-you on from the end; an event with no end time is taken to end about six hours after it starts. Either one goes out between 9:00am and 8:00pm in the event's time zone: one that would land at night waits for 9:00 the next morning, or, for a reminder that morning would make too late, goes at 7:00pm the evening before. A long guest list goes out a few households at a time; if it is still going at 8:00pm, the rest goes from 9:00 the next morning, and a reminder never goes once the event has started. Each goes to guests who said yes, by email, and by text to those who turned texts on. Turning one on or off saves at once, and so does changing its timing; there is no Save to press. If the event has no start time yet, the switch stays off and says so.
If you turn one on more than an hour after its time, it does not go out on its own; the switch stays off and its view says how late it is. Until the event starts, the reminder offers Send the reminder now. For two weeks after the event ends, the thank-you offers Send the thank-you now. Press it twice to send it to the guests who said yes. Later than that, it says it won't go out.
An automatic template and a scheduled message are different things. Editing the wording of an RSVP confirmation does not schedule an announcement to everyone.
